 Agenda:

  • Are product feasible to execute?

Yes, the products are feasible because the ingredients for both BeanKind Brew and KindKut are budget-friendly and readily available at local supermarkets. They can also be prepared in advance and in large quantities, which eliminates the need for any on-site cooking during the event, making setup and execution much easier.


  • Are we willing to spend the amount we presented?

Yes, with a sponsorship worth RM250, we now have a total budget of RM400. This additional funding has enabled us to increase our allocation for production expenses. Currently, all related costs, including raw materials, booth setup, packaging, samples, and emergency reserves, are well accounted for, with the total production cost coming to approximately RM395.25, which stays within our budget.

        

  • Status update :

(i) Logistics

Our logisticians, Shree Sha and Zachary, are actively handling the purchasing of all necessary items for our booth. So far, our team has placed orders on Shopee for containers and custom logo stickers for packaging, along with cups and straws for serving our products. We've also prepared a checklist of the remaining ingredients needed, and the logisticians will proceed to buy them soon to ensure that we can start preparing the products 1–2 days prior to the event.


(ii) NGO

Our NGO team has successfully reached out to the organisation and received a response. In their reply, they expressed interest in learning more about our fundraising methods and requested further details on how we plan to raise funds during the event. In response, our team has sent them our proposal to give them a clearer idea of our event concept and execution plan. We are now currently awaiting their follow-up reply.


(iii) Donation + Sponsorship 

We successfully secured a sponsorship of RM250 from our leader's friend. This contribution has been fully utilised in our budget planning, allowing us to expand our initial production cost allocation.

Role assigned: Secretary

Status for my given task :
As we have yet to discuss and reassign roles for the event day, my current responsibility as the secretary is to ensure that our weekly WIP report is properly written and uploaded to the blog.



Sylvia Wong 0138636

Role assigned: Visual & Marketing Team

Status for my given task: 
I have completed designing the promotional posters for our BeanKind booth and campaign, ensuring they clearly showcase our products, theme, and event details. At this stage, I am waiting for the logistics team to deliver the ingredients for our menu items. Once everything arrives, I will begin decorating the booth according to our planned layout, creating an engaging and visually appealing space that reflects our concept and attracts customers.



Shree Sha Vaishnavi Nair A/P Vasu (0139143) 

Role Assigned : Treasurer & Logistics Team 

Update for Roles :  
We have a total fund of RM 400 , 150 given by the school loan which has been received , and RM 250 to be received soon. I have also distributed funds for our booth design which will be covered by Jame and also bought plastic containers, plastic spoons , straws and stickers which will be used for our booth on Shopee. I have also made a checklist and also finalized the grocery stores I will be buying the ingredients from for our products to have the cheapest price while having great quality. I will purchase the ingredients around 3-4 days before the event to ensure the freshness of ingredients.

Role Assigned : NGO Team

Status for my given task :  
Our NGO team has replied to TLFP's inquiry regarding our fundraising plans.
Last week, I drafted our response in collaboration with another NGO team member and my group members to ensure the accuracy of the information we provided to the NGO. 
In our response, we provided a detailed explanation of our event's purpose, booth concept, execution plan, products to be sold, pricing, estimated donation amount, and the process for transferring our profit to the NGO. Now, we are waiting for their follow-up reply, and we'll share any updates with the group as soon as we get back. I'm looking forward to seeing how they react to our plan and whether they have any advice for us. I hope we can continue to stay in close contact and build a good, collaborative relationship with the NGO through this project.

Role Assigned : leader, NGO Team

Status for my given task :  
As the team leader, I am currently planning the logistics and execution for our upcoming event. I am preparing a detailed event schedule to ensure smooth operations on the day. Additionally, I am in active discussions with the group to finalise roles and allocate tasks to each member, ensuring that responsibilities are clearly defined and the team is well-prepared.


Zachary Chieng Heng (0139098)

Role assigned: Logistician

Status :
My current role is most crucial at this part - ensuring that me and the treasurer works closely together to ensure that all materials are acquired before booth day, as well as the other difficult things such as planning behind the needed preparations for the booth.


Lee Yau Zu (0138730)

Role Assigned : Promoting & Marketing Team

Status for my given task :  
After completed the design of our poster, product and booth. I received the money form treasurer for the booth material and soon me and my partner will starting to DIY everything needed for the booth.
